Duties of the President:
The duties of the President shall be as follows:
- Preside over all official General Membership and Executive Board meetings.
- Appoint and remove any necessary committees and chairs.
- Vote only in case of a tie.
- Serve as ex-officio member on all committees.
- Present business to the organization.
- Represent the organization at all times.
- Delegate duties to each Vice President as deemed necessary.
Duties of the Vice-Presidents of Leadership, Service, Scholarship and Fellowship:
The duties of the Vice Presidents shall be as follows:
- Perform all duties of the President in the event of his/her absence.
- Take roll at official Executive Board meetings.
- Co-ordinate all committees.
- Head the committee under each one's area of competency leadership, service, scholarship and fellowship.
- Keep track of Leadership Hallmarks.
- Write Hallmarks for submission.
- Review and make recommendations on chapter by-laws and annual report.
- Serve as chapter program manager(s), advocate(s) and resource person(s).
Duties of the Secretary/Treasurer:
The duties of the Secretary shall be as follows:
- Take and read minutes of official General Membership and Executive Board meetings.
- Maintain records of the official meetings.
- Maintain a file of chapter correspondence.
- Serve on the committee to prepare the Hallmark Award Forms,Chapter Annul Report
and 5 Star Chapter Update Forms to be sent to Headquarters and the Region.
- Keep a full record of chapter functions.
- Compile,edit and publish newsletter.
- Open and/or maintain a financial account for the chapter.
- Receive all money and write all checks.
- Keep a set of financial records that shall be audited and notarized at the end of each officer term.
- Present the chapter's financial records at business meetings.
- File all financial records in the chapter's official files at the end of each academic term.
Note: Many colleges colleges require that a chapter advisor approve any expenditure. Officers should consult the
advisor to determine the college's policies on finances for campus organizations.
Duties of the Public and Media Relations:
The duties of the Public and Media Relations shall be as follows:
- Draft and submit press releases, whenever possible, to all area newspapers regarding inductions and other events.
- Prepare and maintain the chapter scrapbook for regional, state, and international meetings and conventions.
- Prepare the chapter newsletter for publication.
- Inform current chapter members and alumni on chapter related activities and events.
- Network with local, regional, and national chapters.
Duties of the Vice President of Communications:
The duties of the Webmaster and Membership Records shall be as follows:
- Update and maintain chapter web pages.
- Maintain chapter member database.
- Announce new members orientation and induction dates.
